Staying on top of daily jobsite updates doesn’t have to mean chasing down texts, sorting through photo dumps, or deciphering handwritten notes. This guide shows how superintendents, foremen, and project leads can use TaskTag to create a clean, repeatable workflow for tracking field activity — all in one searchable place.

The Ideal Workflow

With this setup in TaskTag:

  • You create a Project for the job
  • You create a Daily Field Report task for each day
  • You log activity in the task or via chat hashtags
  • You and your crew upload photos and notes throughout the day
  • Everything is attached to the day’s report — and searchable forever
  • At the end of the day, you can mark it complete and move on

Step 1: Create a Project for the Job

Use a clear job name, for example

Step 2: Create a Task for Today's Field Report

Use a consistent naming format such as:

  • Daily Field Report - June 26
  • Daily Report - 6/26
  • DFR - 2025-06-26

Step 3: Add a Checklist Template (Optional)

Checklist

Create a repeatable checklist like:

  • [ ] Weather logged
  • [ ] Work performed
  • [ ] Subcontractors on site
  • [ ] Deliveries received
  • [ ] Issues or delays
  • [ ] Photos uploaded
  • [ ] Notes added to chat

Step 4: Upload Photos and Notes Throughout the Day

Anyone in the field can upload directly to the task or message in chat using the tag:

  • Framing 90% complete in south wing.
  • Delivery of 2x6s arrived at 10:30am.
  • Rain delay from 12–2pm.

All of these are automatically attached to the task.

Step 5: Mark the Report Complete at End of Day

Once the report is done:

  • Check off all items in the checklist
  • Review uploaded photos or notes
  • Mark the task as complete

Step 6: Duplicate the Task Tomorrow

At the start of the next day:

  • Click Duplicate under the "three-dot menu" in the task
  • Rename it with the new date
  • Repeat the process
