Introduction
Staying on top of daily jobsite updates doesn’t have to mean chasing down texts, sorting through photo dumps, or deciphering handwritten notes. This guide shows how superintendents, foremen, and project leads can use TaskTag to create a clean, repeatable workflow for tracking field activity — all in one searchable place.
Who this is for: Superintendents, foremen, field leads, or PMs who need to track daily site activity, weather, issues, and progress.
What this solves: This workflow replaces scattered text updates, photos on phones, and forgotten paperwork with a simple, shareable daily log — organized by day and stored in one place.
The Problem
Most daily field reports are:
- Written on paper or filled in later from memory
- Sent via text or email, then lost in someone’s inbox
- Missing photos or context
- Not searchable or stored long-term
This leads to:
- Missed details
- No record of what happened if something goes wrong
- Lots of back-and-forth when questions come up later
The Ideal Workflow
With this setup in TaskTag:
- You create a Project for the job
- You create a Daily Field Report task for each day
- You log activity in the task or via chat hashtags
- You and your crew upload photos and notes throughout the day
- Everything is attached to the day’s report — and searchable forever
- At the end of the day, you can mark it complete and move on

Use a clear job name, for example
- Lincoln High - Gym Retrofit
- Smith Kitchen Remodel
- Westside Commercial Build
Tip: Use the project address for advanced geolocation features

Use a consistent naming format such as:
- Daily Field Report - June 26
- Daily Report - 6/26
- DFR - 2025-06-26
Tip: Use the project address for advanced geolocation features

Create a repeatable checklist like:
- [ ] Weather logged
- [ ] Work performed
- [ ] Subcontractors on site
- [ ] Deliveries received
- [ ] Issues or delays
- [ ] Photos uploaded
- [ ] Notes added to chat

Anyone in the field can upload directly to the task or message in chat using the tag:
- Framing 90% complete in south wing.
- Delivery of 2x6s arrived at 10:30am.
- Rain delay from 12–2pm.
✅ All of these are automatically attached to the task.

Once the report is done:
- Check off all items in the checklist
- Review uploaded photos or notes
- Mark the task as complete

At the start of the next day:
- Click Duplicate under the "three-dot menu" in the task
- Rename it with the new date
- Repeat the process
Example: Full Activity Log on a Daily Report
Task: Daily Field Report – June 26
Activity log might include:
Type | Example |
---|---|
📷 Photo | Framing progress photos (uploaded via chat and tagged) |
📎 File | Delivery receipt PDF for lumber |
💬 Message | “Electricians were on-site from 7:30–3:00. #Daily_Field_Report_6_26” |
💬 Message | “Client walkthrough at 2pm. Issues flagged with window placement.” |
✅ Checklist | All report items checked off before marking complete |
Best Practices
Use consistent naming for daily tasks
Makes it easy to search and find later
Upload photos as the day unfolds
Don’t wait until the end of day — capture as it happens
Use hashtags in chat to log activity
Everything stays attached to the right date/task
Upload files like delivery slips or notes
Build a full paper trail in one place
Duplicate yesterday’s task to save time
Keeps the format consistent and reduces friction
Done State Checklist
- [ ] Task created for current day
- [ ] Crew uploads photos and notes using hashtag
- [ ] Checklist completed
- [ ] Task marked complete
- [ ] Task duplicated for following day
- [ ] All field activity for the day is logged and searchable
Real Value to the Business
✅ Saves time by replacing text threads, paper forms, and scattered photos
✅ Reduces risk with a full record of who did what, when
✅ Improves visibility for office and stakeholders
✅ Creates accountability in real time
✅ Builds a searchable history of the jobsite
“If it happened on site, it’s in the daily report.”
